Privacy notice

Last updated: 6 October 2026

This notice explains how Orvia Studio Group handles information when you visit this website or choose to send an enquiry. It is written for the site as it currently operates. Please do not include passwords, identity numbers, payment-card details, health information, or other sensitive personal information in a form message.

1. Who to contact

Orvia Studio Group is the organisation identified on this website and the contact point for privacy questions about website enquiries. Email orviacreatives@gmail.com or call +27 65 960 6104. We do not publish a postal office address on this site; use these channels for a privacy request.

2. Information the site asks for

Form information is supplied by you. Fields marked required are needed to prepare and respond to the request; if you leave them blank, you cannot prepare the email draft through the form. Optional fields can be left empty.

3. What happens when you submit a form

The forms currently run in the browser and prepare an email draft addressed to Orvia. There is no form-submission endpoint or website database configured in this project. Clicking the form button hands the entered details to your device’s configured email application to create the draft; the email provider may sync or store that draft. Nothing is delivered to Orvia until you choose to send it. If you do not want to use the draft, you can close it and contact us directly by email.

The information is used to respond to your request and, if you proceed, to take steps you request before a possible service agreement or to provide the agreed service. Orvia must document the applicable POPIA justification for each use; this required checkbox records acknowledgement of the notice and is not blanket consent for unrelated purposes. The site does not currently use enquiries for marketing.

4. Providers and external links

After you send an email, the email services used by you and by Orvia process that message. The Orvia contact address shown here is a Gmail address. The website host may process technical logs to deliver and protect the site; its identity, location, and retention settings must be confirmed for the live deployment.

The contact page displays a static, locally hosted regional map built from public-domain Natural Earth boundaries. It illustrates the broad service area, not an office or street address, and displaying it does not contact a third-party map provider. Social links take you to their respective services only when you select them. This site currently loads no analytics or advertising scripts and does not automatically request external font or map assets.

Depending on the email and hosting providers and their settings, some information may be processed outside South Africa. Provider-specific locations and safeguards should be confirmed against the active accounts and deployment before launch.

5. Retention and protection

Ordinary enquiries that do not become an active project are reviewed for deletion or de-identification no later than 12 months after the last meaningful contact, unless a continuing business purpose, dispute, or legal requirement justifies keeping a record longer. Active-client and transaction records follow the applicable business and legal recordkeeping schedule. Email retention is managed in the mailbox and is not automatically enforced by this static website.

Orvia's internal policy requires access to enquiry messages to be limited to authorised people and the company email account to be protected with multi-factor authentication. Account-level controls are managed outside this website and must be verified by the account owner. No internet transmission or storage method can be guaranteed completely secure.

6. Your choices and rights

You may ask to access or correct information about you, request deletion where applicable, or object to processing where the law allows. If processing relies on consent, you may withdraw it; withdrawal does not undo processing already carried out lawfully. Contact Orvia using the details above. You may also contact the Information Regulator of South Africa at enquiries@inforegulator.org.za or 010 023 5200, or use its eServices portal to raise a complaint.

7. Changes to this notice

This notice must be reviewed whenever the form flow, hosting provider, email service, retention practice, or other data use changes. The date above identifies the latest published revision.
